RentBee Inc. ("RentBee", "we", "us", or "our") is committed to protecting your privacy. This Privacy Policy outlines how we collect, use, disclose, and safeguard your Personal Information when you use our professional rental management system (the "Service").

2. What is Personal Information?

3. Information We Collect (The "Purposes")

We only collect Personal Information that is necessary to provide you with the Service. The types of information we collect depend on whether you are a Landlord User or a Tenant User.

  • Account Information: When any User registers for the Service, we collect information such as your name, email address, and phone number to create and manage your account.
  • Landlord User Information: If you are a Landlord User, we collect information about the properties you manage, such as addresses and property details. We also collect information required to facilitate payments, such as banking information.
  • Tenant User Information: If you are a Tenant User, we collect information required to process rental applications, facilitate lease agreements, and process payments. This may include your employment history, credit information (with your explicit consent), and references. This information is collected for the purpose of sharing it with the Landlord User to whom you are applying.
  • Financial Data: To facilitate rent payments, we collect financial information (like bank account details for direct debit or credit card information). This information is securely transmitted to our third-party payment processor (e.g., Stripe). We do not store your full bank account or credit card number on our servers.
  • Usage Data: We automatically collect technical information when you use the Service, such as your IP address, browser type, and operating system. We use this data to monitor, maintain, and improve our Service.

4. How We Use Your Information

We use the information we collect for the following purposes:

  • To provide, operate, and maintain the Service.
  • To facilitate the landlord-tenant relationship, including applications, leases, payments, and communications.
  • To process transactions and send you related information, including confirmations and invoices.
  • To improve the Service by monitoring and analyzing usage and trends.
  • To communicate with you, including responding to your comments, questions, and requests, and providing customer service and support.
  • To protect the security and integrity of our Service, prevent fraud, and enforce our Terms of Service.
  • To comply with our legal obligations.

5. How We Share Your Information

We do not sell your Personal Information. We may share your information in the following limited circumstances:

  • Between Users: The core function of our Service is to connect Landlord Users and Tenant Users. As such, when a Tenant User submits a rental application, maintenance request, or other communication to a Landlord User through the Service, we will share the information contained in that submission with the intended Landlord User.
  • With Your Consent: We may share your information with your consent, such as when you authorize a credit check as part of a rental application.
  • Third-Party Service Providers: We share information with third-party companies that perform services on our behalf, such as payment processing, data hosting (e.g., AWS, Google Cloud), and email delivery. These service providers are contractually obligated to safeguard your information and are not permitted to use it for their own purposes.
  • For Legal Reasons: We may disclose your information if we are required to do so by law or if we believe in good faith that such action is necessary to comply with a legal obligation, protect our rights or property, or prevent fraud or illegal activity.
  • Business Transfers: In the event of a merger, acquisition, or sale of all or a portion of our assets, your Personal Information may be transferred to the acquiring entity.

6. Data Security, Retention, and International Transfers

Security: We use administrative, technical, and physical security measures to help protect your Personal Information. While we have taken reasonable steps to secure your data, please be aware that no security measures are perfect or impenetrable.

Retention: We will retain your Personal Information only for as long as is necessary for the purposes set out in this Privacy Policy, and to the extent necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.

  • The Right to Correction (Rectification): You have the right to request that we correct any information you believe is inaccurate or complete information you believe is incomplete.

8. Children's Privacy

Our Service is not intended for use by individuals under the age of 18. We do not knowingly collect Personal Information from children.
